Getting started with your invoices

Let’s get start with Invoices! Now that you have customized your business profile and added your clients, fill out the invoice with correct details and send them to your clients with ease.

Create New Invoice

Click on the Invoices icon on the side menu and then select Add New Client (figure 2.1). Then add related invoice information.

View Invoices at a glance

If you want an overview of your invoices, click on the (figure 2.1). Here you will be able to get a more in-depth idea of your current invoices.

Adding Due dates to your payments

Cloudbillz allows you to choose a custom payment period for your invoices. You can do this by clicking the drop down list (click on the arrow next to "Due on" field) (figure 2.2). In here you can select a pre-set period or If you want to customize your payment due date, select "Custom" from the list and click on a date of your desire from the Calendar.

Assign clients to Invoices

If you have already created a profile for your client, simply type first two letters of the client name, then the client name will appear on a list to choose from. You can click on the Add New Client to add a new client. (figure 2.2)

Adding Taxes to your invoices

Cloudbillz enables you can setup multiple tax values for your invoices. Click the Settings icon on the side menu. Here you can setup values as required, feel free to customize tax values and types for any invoice. Click on the Add Tax button at the bottom right to add more tax types to a specific invoice. (figure 2.3)

Save Your Invoices

Cloudbillz has a built in auto save function, as long as you are online, your invoice will save with every change you make.

Send your Invoices

In under two clicks send your invoice to your client! Click on the Send Send button at the top right hand corner. You can enter the recipient’s email or add multiple recipients if required. Add a fitting subject and message content if it’s a required. Tick the attach PDF box if you wish to send the email with your invoice as an PDF attachment. (figure 2.4)

Email will contain a web link to your invoice where client can view the invoice and make online payments. Tick on attach PDF tick box if you wish to send the email with your invoice as an PDF attachment.

Record payments of Invoices for manual transactions

In case you decide to create a manual transaction, you can record payments of your invoices for each manual transaction. Click on the Payment button at the top right corner of your invoice where you can add your manual transaction details for each invoice and click on the "Save" button. (figure 2.4)

Check payment history

View transactions details of each and every invoice you created, both manual and automated.

Payment receipts

Click on the Payment button on the top right corner of the invoice and then click on receipt number from the payment history section. When you open the receipt, click on "Email" button to send the receipt to your client. Along with this you can send a thank you note for your client and notify them with a payment confirmation.

Get notifications for Invoices

Stay on track with Cloudbillz notifications, you will be notified via an email when your client views your invoice. (figure 2.5)

Review list of user activities for invoices

You can view the history of different user’s activities for each and every invoice. Besides this, you can check who created the invoice and who has sent it. Moreover, any changes that are made to the invoice will be recorded as well.

Click on the options icon at the top right corner of your invoice, and then select Activity Log to view the list of user activities (figure 2.5).

Send Reminders Manually

Click on the icon at the top right corner of your invoice, and then select Remind to send a manual reminder to your customer. (figure 2.5)

Clone Invoices

If you want to make a duplicate of an existing invoice, click on the icon at the top right corner of your invoice, and then select Clone to duplicate the invoice (figure 2.5). You can make changes to this cloned invoice and send it as a new invoice.

Change settings for individual Invoices

To change settings for a particular invoice, click on the icon at the top right corner of your invoice, and select Settings to change payment options and auto reminder options for a specific invoice. If you want to change these settings for all invoices at once, you can go to general settings at the side menu.

Disable auto reminder for a specific invoice

If you desire to send manual reminders for a specific invoice, then you can switch off auto reminders for that individual invoice.

Click on the icon at the top right corner of your invoice, and then select Settings. Click on Auto Reminder "ON" / "OFF" button to change the setting.

Sort Invoices

Click on arrows next to each fields to sort invoices as you desired.

View Invoices

Click on view invoice icon under actions to view your invoice.

Search Invoices

By typing the keywords in to the search box you can search invoices by Invoice Number, Summary, Customer Name and status.

Download Invoices

Click on download icon under actions to download your invoices as a PDF file. You can also view the invoice and then click on download icon on the top right corner of the invoice.

Delete Invoices

Click on Delete icon under actions to delete your invoices.
